POSITION SUMMARY:
Under direct supervision of the Career and Technical Education Director, this position provides secretarial support for the CTE Office and CTE Programs. In addition to typing, filing and Synergy programming, meeting and conference coordination, student scheduling (CTE Only), obtaining supplies, coordinating direct mailings and working on special projects as assigned. This role also involves routing calls for a diverse group of important external callers and visitors, as well as internal contact at all levels of the organization.
PRINCIPLE DUTIES AND RESPONSIBILITIES:
- Schedules and organizes CTE activities including meetings, travel, conferences and department activities.
- Performs desktop publishing and creates monthly calendar.
- Establishes, develops, maintains and updates filing system for the CTE office. Retrieves information from files when needed.
- Act as a liaison with other departments or schools and outside agencies. Handles confidential and non-routine information.
- Serve as CTE SAIS coordinator performing data entry, program/course setup, routine SAIS reporting, and student scheduling.
- Assist the CTE Director to maintain CTE accountability measures including; student placement, graduation rates, grants management, and various financial duties.
- Assists with preparation and administration CTE assessment testing
- Collaborates and partners with school counselors to assists with registration and aggregation of CTE students and relevant data.
- Supports administration and other district personnel in assembling necessary data for new A-F school accountability reporting.
- Coordinates, implements and supports the registration process with Mountain Institute CTED and Yavapai College.
QUALIFICATIONS, KNOWLEDGE AND SKILLS REQUIREMENTS:
- Must have a high level of interpersonal skill to handle sensitive and confidential situations. This position requires demonstrated poise, tact and diplomacy.
- Requires knowledge of school district and an excellent command of the English language.
- Requires knowledge of secretarial, office administrative procedures, and knowledge of use and operation of standard office equipment, at a level generally acquired through 1+ years of related experience.
- Work requires attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
- Must have working knowledge of school attendance programs and reporting procedures. Experience in SAIS and School Master preferred.
EDUCATION AND WORK EXPERIENCE:
- High School Diploma or its equivalent and some business college training desirable.
- At least one year of experience with computer operation and or secretarial experience.
- CTE training or related experience preferred.
- Must have or be able to obtain a valid Arizona IVP Fingerprint card.
